Why specification alignment comes first

Category is not specification
Terms such as diesel, crude, LPG, or sulfur identify a family of products. They do not define the product a receiving party can accept. Standards, tolerances, physical form, testing context, and origin parameters can all matter.
Alternatives should be explicit
If more than one grade or specification may work, list the acceptable range. This opens useful options without turning the inquiry into an undefined search.
The goal is a controlled degree of flexibility: enough to discover fit, but not so much that the requirement loses meaning.
Documentation follows understanding
Documentation is most useful after the parties agree on what is being discussed and why it could fit. A disciplined sequence protects time and keeps the process proportionate to the opportunity.
